Job Description:
This position will report directly to the Site Lead / Director of Engineering and will serve as a key administrative resource for the West Palm Beach L3Harris facility. The Site Administrator provides essential day-to-day administrative support to site leadership and staff, ensuring smooth and efficient site operations. Responsibilities include travel coordination, expense reporting, site event planning, supply management, customer visit coordination, and support of site security requirements. This role requires frequent interaction with internal staff, leadership, customers, and security personnel, and demands a high degree of professionalism, discretion, and sound judgment when handling sensitive or proprietary information. This role requires a highly organized, detail-oriented individual with excellent written and verbal communication skills and the ability to manage multiple tasks simultaneously.
Essential Functions:
- Under general supervision, performs a variety of administrative support duties for site leadership and staff, exercising sound judgment and initiative in resolving day-to-day operational needs.
- Assists site leadership with travel approval coordination and expense report processing in accordance with company policy.
- Coordinates logistics for site events and meetings, to include catering, room assignments, scheduling, and stakeholder communications.
- Coordinates customer and VIP visits with site security personnel to ensure compliance with applicable access and security requirements.
- Serves as Document Transfer Authority (DTA), responsible for uploading and managing information to approved classified systems in accordance with established security protocols.
- Manages ordering and inventory of site office supplies to ensure adequate stock levels and cost-effective purchasing.
- Supports general site administrative needs as directed by site leadership.
- Other duties as assigned.
- Ability to obtain and maintain a U.S. Security Clearance, including eligibility to serve in a Document Transfer Authority (DTA) role.
Qualifications:
- High School Diploma or equivalent and a minimum of 4 years of prior relevant administrative experience, or 2 years post-Secondary/Associates Degree with a minimum of 2 years of prior related administrative experience.
- 2+ years' experience with Microsoft Office tools, including Microsoft Word, Excel, PowerPoint, Outlook, and Teams.

- Experience with SharePoint, Concur/SAP, ARIBA, or similar tools preferred.
- Prior Aerospace or Defense Industry experience preferred.
- Demonstrated ability to handle sensitive and proprietary information with a high level of maturity and confidentiality.
- Effectively works as a team member, successfully establishing and maintaining cooperative working relationships across the site and broader organization.
