Job Description:
Perform administrative duties, including overseeing the shipping process for all programs and executing Wide Area Workflow (WAWF) invoicing related to the DD-250 process; maintain and update schedules/plans and reports/information under the direction of the Program Manager; work with other departments to expedite program tasks; and assist in the preparation of data for presentations.
Essential Functions:
- Draft Shipping Detail Reports (“G” SDRs) gather OQE as needed
- Oversee the processing and management of invoices within the Wide Areas Workflow system.
- Ensure timely and accurate entry of invoice data.
- Review and validate invoices for completeness and compliance with company policies and contract terms.
- Gather data from various systems and draft monthly status reports for assigned programs. Convert/extract and interpret data into a format that can be analyzed by Program team and Customer.
- Responsible for accurate preparation, maintenance and updates to the Depot Inventory Report in support of monthly CDRL submittal adhering to a firm deadline (as required).
- Monitor and accurately maintain Depot Level Repairable (DLR) Report providing timely updates in support of Inventory CDRL.
- Responsible for updating the Depot In-House Inventory Report and Depot Usage file in support of KEO’s yearly investment in Depot Inventory adhering to a firm deadline (as required).
- Knowledge and understanding of Inventory Report, DLR Report and Depot In-House Inventory Report are required in order to analyze data and provide key foundational and accurate inventory management information to the overall Photonics Depot Team (internal and external).
- Responsible for updating the Imaging Failure Tracking & Asset Management System (IFTAMS) database within the US Government’s Information System for Depot Level Repairables (DLR’s).
- Acts as liaison to Government Property Specialist to translate specific customer requirements as it pertains to the Depot program. This may include utilization of designated Depot Inventory work orders/Projects for Depot Inventory Management to ensure customer needs are met.
- In order to ensure successful Program execution, understand the logic of KEO’s Business Management System as it specifically pertains to DLR order launching, tracking & shipments.
- Assist Program Managers with ordering, shipping support documentation and running Reports including (but not limited to) the following:
- Preparation of Program Management Directive (PMD) Forms
- Draft “GFM” Shipping Detail Reports (“G” SDRs); gather OQE as needed
- Responsible for the overall management of Depot Level Repairable items (DLRs) with oversight from the Program Manager and/or Associate Program Managers.
- Exposure to some company sensitive information and data.
Qualifications:
- Requires a High School Diploma or equivalent and a minimum of 8 years of prior relevant experience or 2 years post-Secondary/Associates Degree with a minimum of 4 years of prior related experience.
- Ability to obtain a US Secret Clearance which requires US Citizenship
- Minimum Experience: 8 years office, Depot program or business experience
- Detailed and task oriented, can change direction/priorities when needed
- Proficiency with MS Word, Excel, Power Point
- Experience and aptitude with SAP and Enterprise Tools focused on Business Systems & Inventory Management
- Must have excellent written and verbal communication skills
- Strong interpersonal skills, builds relationships and work well with others at all levels of the organization.

In compliance with pay transparency requirements, the salary range for this role in Massachusetts is $68,500- $127,000. This is not a guarantee of compensation or salary, as final offer amount may vary based on factors including but not limited to experience and geographic location.
