Job Description:
L3Harris is seeking an Administrative Assistant to provide administrative, and staff support to the Mission Support Team (MST). This position plays a key role in supporting the efficient operation of the department and site by coordinating administrative activities, customer engagements, and team support functions.
The Administrative Assistant will coordinate and prepare customer demonstrations, engagements, and training classes; arrange business travel; process expense reports; and help maintain MST training rooms and vehicles. This candidate will also prepare and maintain documents, databases, spreadsheets, reports, and presentations.
The successful candidate will demonstrate adaptability in a fast-paced environment with multiple competing priorities and will be equally effective working independently or collaboratively as part of a team. Strong interpersonal skills are essential, as this role requires interaction with MST customers, program managers, subcontractors, executives, and all levels of management.
This position requires a highly organized, detail-oriented professional with excellent written and verbal communication skills, sound judgment, and the ability to manage multiple tasks simultaneously while maintaining confidentiality.
Essential Functions:
- Provide administrative support to MST and program leadership.
- Assist with the preparation of presentations, reports, spreadsheets, letters, memoranda, agendas, schedules, and other business documents.
- Prepare materials for internal and customer meetings.
- Maintain calendars and coordinate meetings, events, interviews, and appointments.
- Reserve conference rooms and arrange catering as needed.
- Arrange travel itineraries and support the timely submission of expense reports.
- Interface with high-level internal and external contacts in a professional manner.
- Manage and plan events that support program team engagement.
- Ensure exceptional coordination and support for customer meetings and site visitors.
- Create and maintain appropriate databases and tracking tools.
- Process overtime requests for program team members.
- Support general office operations, including ordering and stocking office supplies, beverages, food, and snacks for site operations, meetings, and routine business needs.
- Maintain MST training rooms and vehicles.
- Perform other administrative tasks and assignments as needed.
Qualifications:
- High School Diploma or equivalent with a minimum of 6 years of prior relevant experience or 2 years of post-secondary education or an associate degree with a minimum of 2 years of prior related experience.
- Experience with Microsoft Office tools, including PowerPoint, Word, Excel, Outlook, and SharePoint.
- Eligible for a Secret Security Clearance which requires US citizenship.
