Job Description:
Facilities planner is tasked with space planning activities, solving complex problems, and making recommendations for best uses of space for the organization, as well as providing ways to improve existing space and making recommendations for new locations. This includes creating furniture layouts and design, configuration of space layouts, proposing solutions to capacity constraints, and relocation of employees. Employee receives space/move request and will identify locations for personnel which meet their department requirements and coordinate relocations with move service vendors. Use AutoCAD and strategically evaluate space layouts and modify workstation and wall layouts to create the most functional design including statements of work. Submit designs to furniture vendors and obtain proposals. Coordinate aspects of modular furniture installs (carpet, electrical, IT cabling, furniture installs, and relocation of employees). Ability to be self-motivated and work well with others. Able to work within standard processes for non-routine tasks. Work consists of less-routine tasks in contribution to changes in systems and processes to solve problems. May be required to apply discretion within identified boundaries and procedures. Responsible for making changes in processes to solve problems or improve effectiveness of approaches and routines being utilized. Expected to propose solutions to problems for others review.
Essential Functions:
- Plan and design efficient interior office spaces, ensuring alignment with organizational goals and branding.
- Develop and implement space utilization strategies to enhance employee productivity and space efficiency.
- Coordinate with architects, contractors, and vendors to manage the execution of design projects, ensuring they meet budget and timeline constraints.
- Conduct detailed space planning and analysis to identify opportunities for improvement and forecast future space requirements.
- Manage the move management process, ensuring operational continuity during office relocations, expansions, and reconfigurations.
- Oversee the selection, purchase, and installation of office furniture, fixtures, and equipment, ensuring coherence with design standards.
- Maintain and update accurate records of facility layouts, space assignments, and utilization metrics.
- Collaborate with the Facilities Maintenance team to ensure all space modifications comply with safety, building codes, and ergonomic standards.
- Act as the primary point of contact for space planning queries and requests from employees and various departments.
Qualifications:
- Bachelor’s Degree and minimum 4 years of prior relevant experience. Graduate Degree and a minimum of 2 years of prior related experience. In lieu of a degree, minimum of 8 years of prior related experience.
- Experience in facilities planning and space management, with a significant emphasis on interior space design.
- Proven expertise in space planning software (e.g., AutoCAD, Archibus, Revit) and proficiency in Microsoft Office Suite, MS Project,
- Strong project management skills with the ability to manage multiple projects simultaneously and deliver results on time and within budget.
- Excellent communication and interpersonal skills, with the ability to work effectively with all levels of an organization.
- Highly motivated, confortable working independently of in team settings in a deadline driven environment
- Detail-oriented with a strong ability to analyze existing space utilization and develop actionable plans.
- Knowledge of building codes, health and safety regulations, and ergonomic standards.
Preferred:
- Certification in Facilities Management (e.g., IFMA, BIFM) is a plus.
