Job Description:

Provides administrative and clerical support specifically related to supply chain and procurement activities. Maintains files, logs, records of invoices, purchase orders and other related documentation. Maintains information on computer systems. Assists in expediting orders. May assist buyers in contacting vendors to obtain prices and schedule delivery dates. Prepares standard requests for quotations and purchase requisitions. Assignments may require initiative regarding pricing revisions, order cancellations, discontinued items, acceptable substitutes, delivery date revisions, invoice discrepancies, etc. May place purchase orders as assigned by supervision.

 

Essential Function:

This position requires close, professional & courteous daily interface with internal and external customers and all levels of leadership.  Applicant must have excellent communication skills and a thorough understanding of cross-functional interactions as they relate to Depot activities. Strong organizational skills, prioritizing, and the ability to multi-task and interact with several buyers at one is a must.

  • Tracks data and information with vendors confirming dates are met for Procurement
  • Prepares weekly reports for buyers to inform them of incoming and past due PO’s 
  • Contacts vendors regarding past due PO’s and expedites items needed in plant to meet aircraft schedules
  • Works with Receiving to ensure all items are received in correctly and in a timely manner
  • Works with Accounting regarding blocked invoices and goods that have been received but not invoiced
  • Experience with Word, Excel, and SAP are preferred.

Qualifications:

  • Requires fully proficient job knowledge/skills. Requires a High School Diploma or equivalent and a minimum of 6 years of prior relevant experience or 2 years post-Secondary/Associates Degree with a minimum of 2 years of prior related experience.
  • This position requires an Active DoD security clearance at the Secret level and must be able to maintain the clearance, which requires U.S. citizenship.
  • Fully proficient support individual contributor. Works under limited supervision. May be a resource to other employees in areas of expertise. Assignments are moderately difficult requiring some judgment.
  • Works under limited supervision. Less detailed instructions are provided and minimal peer review is required.
  • Communicates with contacts typically within and outside the department on matters that involve obtaining or providing information requiring explanation or interpretation to understand and reach agreement. May be a resource to other employees in areas of proficiency.
  • Work may be structured within identified boundaries and procedures. Follows established processes to complete tasks. Identifies problems and issues in straightforward situations. Resolves most issues.
