Job Description:
L3Harris Technologies, Inc. is seeking a highly organized and proactive Administrative Assistant to provide essential administrative support. This role will primarily focus on managing travel arrangements, maintaining calendars, and coordinating customer visits. The ideal candidate will possess excellent communication skills, attention to detail, and the ability to handle multiple tasks efficiently.
Essential Functions:
- Travel Coordination:
- Arrange travel plans for PMO team members, including booking flights, accommodations, and transportation.
- Prepare and distribute detailed travel itineraries.
- Process travel expense reports and manage travel budgets.
- Calendar Management:
- Maintain and update calendars for the Program Manager and other key team members.
- Schedule meetings, appointments, and conference calls, ensuring there are no scheduling conflicts.
- Send out meeting invites and reminders, and prepare necessary documentation or materials in advance.
- Customer Visit Coordination:
- Organize and facilitate customer visits, including scheduling meetings, preparing agendas, and coordinating logistics.
- Serve as the primary point of contact for visitors, providing a professional and welcoming experience.
- Ensure that conference rooms and meeting spaces are prepared and equipped with necessary materials.
- Administrative Support:
- Handle general administrative tasks such as filing, data entry, and maintaining office supplies.
- Prepare and edit correspondence, reports, and presentations as needed.
- Assist in the preparation of program documentation and project reports.
- Communication:
- Act as a liaison between the PMO and other departments, ensuring clear and efficient communication.
- Respond to inquiries and provide assistance to internal and external stakeholders as required.
Qualifications:
- Requires a High School Diploma or equivalent and a minimum of 6 years of prior relevant experience or 2 years post-Secondary/Associates Degree with a minimum of 2 years of prior related experience
- Requires an Active Secret clearance.
