Job Description:

 

The Administration C position will be responsible for performing general administrative supporting dynamic Field Engineering efforts.  Coordinates and books travel, builds/reviews expense reports, and validates labor charging logs.  Prepares documents, spreadsheets, and reports, creates and/or maintains appropriate logs, databases, status reports/tracking. Research questions/issues relating to office, travel, payroll operations, and established policies and procedures. 

 

Essential Functions:

  • Accept/validate Field Engineering travel needs.
  • Coordinate with business travel office.
  • Liaise with program managers on contract travel needs.
  • Be familiar with and provide travelers with itinerary and travel guidance.
  • Process travel changes to meet customer needs.
  • Process and submit security visit requests, country clearances, passports, and visas.
  • Process government assignment orders when applicable.
  • Travel tracking and reporting.
  • Provide expense report support/training to travelers.
  • Review traveler expense reports to ensure they comply with requirements.
  • Keep a log of all travel and expense reports supported.
  • Coordinate employees on timecard inputs/discrepancies.
  • Calculate and submit pay correction to payroll for processing.
  • Support and monitor traveler timecard entries.
  • Process overtime requests.
  • Run SAP labor reports as needed.
  • Knowledge and proficiency in SAP and Concur.
  • Travel booking experience for large groups.
  • Reliable, ability to multi-task/be proactive.
  • Effectively communicate verbally/electronically.
  • Able to support travel needs during non-business hours 5% of the time.
  • Friendly, customer service attitude.
  • Quick thinking with sound problem-solving skills.
  • Utilize MS Office Suite.
  • Must be able to obtain and maintain a Secret DoD security clearance.
  • Other duties as assigned by supervisor.

 

Qualifications:

 

  • Requires a High School Diploma or equivalent with six (6) years of administration support with a strong emphasis on travel and expense reports.
  • 2 years post-Secondary/associate’s degree with two (2) years of administration support with a strong emphasis on travel and expense reports.
  • Must be a U.S. Citizen.
