Job Description:

 

The Executive Admin will be responsible for preparing weekly reports, coordinating travel logistics, processing expense reports, assisting with new hire orientations, and performing various administrative tasks. The ideal candidate will be exceptionally organized, detail-focused, highly motivated, energetic, and demonstrate outstanding teamwork skills, consistently aiming for excellence in all duties.

 

Essential Functions:

  • Provide direct administrative support to leadership to include calendar, scheduling, report, travel, budget, etc.
  • Provide general administrative support for labor corrections, travel, expenses, IT, supply inventory, training compliance, on/offboarding.
  • Manage schedules for leadership, prioritize tasks, adhere to deadlines.
  • Excellent organizational skills with the ability to prioritize tasks and handle multiple projects simultaneously.
  • Requires strong time management skills.
  • Plan meetings and take minutes for meetings.
  • Strong written and verbal communication, and presentation skills.
  • Attention to detail and problem-solving skills.
  • Use Microsoft Word, Excel, PowerPoint, SharePoint, and TEAMS to create presentations and communicate information.
  • Familiar with basic software and demonstrate a willingness to learn new software.
  • Organize and execute employee morale events for the Majors Field site
  • Community engagement to include sponsorship management and event reporting.
  • Employee engagement activities.
  • Assist in the overall maintenance and upkeep of conference rooms.
  • Maintain required level of confidentiality.
  • Serve as back up support to other administrative team members.
  • Teamwork, building professional relationships and engaging with teams.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Ability to obtain and maintain a DoD Secret Clearance.
  • Other duties and responsibilities as assigned.

Qualifications: 

  • A High School Diploma or equivalent with eight (8) years of prior executive admin experience.
  • 2 years post-Secondary/associate’s degree with four (4) years of prior executive admin experience.
  • Must be a US Citizen.
