The Quality Administration C role provides critical administrative and operational support to the Quality organization. This role supports day-to-day business processes, reporting, record management, systems coordination, and general departmental administration. The individual in this role will serve as a key resource for coordinating Quality-related administrative activities, supporting data accuracy across business systems, and helping ensure efficient execution of Quality Management System processes.
Essential Functions:
- Provide administrative support to the Quality organization, including scheduling and coordinating meetings, managing calendars, booking conference rooms, arranging catering, and supporting department events and employee engagement activities.
- Support records management activities in accordance with applicable procedures and coordinate Quality document and record retention activities.
- Prepare monthly data and reports for Mission Control Board reviews and support reporting of corrective action and audit status during Gemba walks.
- Maintain and report Quality Systems metrics, including expired document KPI tracking and reporting.
- Provide Quality Software System (TIPQA) administrative support, including user access support, password resets.
- Support initial processing of FRACAS items and other Quality workflow coordination activities.
- Assist with preparation and review support for Quality FAI packets, program packages, and related documentation processes.
- Assist with travel arrangements, expense report preparation in Concur, onboarding support for new personnel, office and breakroom supply ordering, and other general administrative support tasks as needed.
- Work collaboratively with other Administrative Assistants and cross-functional teams to support business operations and department priorities.
- Maintain a positive work atmosphere by acting and communicating in a manner that is cooperative and supportive of customers, co-workers, and managers.
- Perform other duties as necessary or appropriate to the position.
Qualifications:
- High School Diploma or equivalent and a minimum of 6 years of prior related experience, or Associate’s degree and a minimum of 2 years of prior related experience.
- Minimum of 2 years of experience in administrative support, business support, or coordinator role.
- Experience supporting reports, records, documentation, or business systems in a professional environment.
- Experience working with Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint.
- Based on site requirements, must be a United States Citizen.
Preferred Additional Skills:
- Experience supporting Quality, Manufacturing, Supply Chain, or other operational functions in a regulated or production environment.
- Familiarity with business systems such as TIPQA, Costpoint, Ariba, Concur, or similar tools.
- Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment.
- Strong attention to detail and accuracy in data entry, reporting, and document control activities.
- Effective written and verbal communication skills.
- Ability to handle sensitive or confidential information with professionalism and discretion.
- Experience coordinating meetings, travel, events, onboarding, and general office support activities.
- Self-motivated with a strong sense of ownership and follow-through.
- Desire to learn new systems, processes, and business requirements.
