Job Description:
The L3Harris Camden site is looking for an Administrative Assistant to support a fast paced Engineering organization. This role will report to the Surface & C5 Systems (S&C5S) Director of Engineering and should be highly skilled and experienced in senior level support. This role provides adminstrative support to S&C5S Director of Engineering, 21 engineering managers and 200+ engineers.
Essential Functions:
- Provide comprehensive administrative support to S&C5S engineering director, engineering leaders and engineering workforce.
- Manage and maintain executive schedules, including meetings, appointments, and travel arrangements.
- Prepare, format, and edit reports, memos, letters, and other documents from drafts.
- Organize and maintain physical and electronic files related to engineering projects, ensuring they are up-to-date and easily accessible.
- Schedule and coordinate meetings, including preparing agendas, arranging conference rooms, and distributing meeting minutes.
- Assist in the preparation of presentation materials for meetings and workshops.
- Serve as a point of contact for internal and external communications, filtering and directing inquiries as appropriate.
- Facilitate effective communication between the engineering team and other departments.
- Assist in tracking project progress, milestones, and deadlines.
- Help with the coordination and execution of program tasks as required.
- Arrange travel accommodations, itineraries, and transportation for team members.
- Coordinate and support onboarding of new hires.
- Process travel expense reports and ensure accurate and timely reimbursement.
- Assist in purchasing & maintaining inventory of office supplies, equipment, and materials needed for engineering projects.
- Plan and coordinate team events, workshops, training sessions, and other department-related activities.
- Provide basic technical support to the engineering team, such as setting up equipment for meetings, and collaborating with IT for more complex technical issues.
- Individuals should be flexible and open to helping wherever needed
Qualifications:
- High School Diploma or equivalent and a minimum of 6 years of prior relevant experience or 2 years post-Secondary/Associates Degree with a minimum of 2 years of prior related experience.
- Minimum 5 years general office support is required.
- This position requires the ability to obtain a US Security Clearance for which the US Government requires US Citizenship.
- Experience using Microsoft Office is required.
