The Executive Assistant provides high-level administrative, operational, and project support to the Divisional Vice President and General Manager (VP-GM) and their leadership team when needed. The role is responsible for ensuring the efficient operation of all activities through effective administration, coordination of business activities, support/project management for strategic projects, stakeholder management, travel arrangements, employee engagement initiatives.
The Executive Assistant acts as a trusted partner to leadership, enabling business priorities to be delivered efficiently while fostering a positive and professional workplace environment.
What the role will involve
The responsibilities of your role will include the following:
Executive and Leadership Support
- Proactively and independently work alongside the divisional VP-GM, being their point of contact and continuous support to make their life easier and more efficient.
- Manage the VP-GMs complex calendar, including scheduling internal and external meetings, prioritizing appointments, and coordinating across time zones.
- Arrange complex domestic and international travel, accommodation, itineraries, and expense claims in compliance with internal policies and relevant regulations, with the support of the local EA.
- Draft, format, and manage correspondence, presentations, and briefing materials for internal and external use noting and respecting confidentiality.
- Coordinate leadership meetings, including agenda preparation, minute-taking, and tracking of action items.
- Serve as a trusted liaison between the VP-GM, Sector, Segment, customers and other relevant internal and external stakeholders as needed.
- Ensure the VP-GM is fully briefed ahead of meetings, events, and strategic engagements.
- Be confident to prioritize conflicting needs, handle matters with independently, proactively, and follow through on projects to successful completion, often with deadline pressures.
- Monitor and prioritize incoming communications, flagging urgent matters and managing follow-up as needed.
- Support planning and execution of key internal and external events, site visits, and conferences.
Project and Business Support
- Provide management and coordination support for business improvement initiatives and ad hoc projects.
- Track project actions, milestones, and deliverables.
- Gather information, prepare reports, and support project documentation.
- Assist leaders with implementation activities and change initiatives as required.
- Support communication and activities that promote a positive workplace culture.
- Assist with organising celebrations, community initiatives, wellbeing activities, and team events, with the support of the local EA.
- Partner with leaders and functional teams to support engagement strategies.
Travel and Event Coordination
- Act as the primary point of contact for all travel enquiries for the VP-GM and their leadership team business, coordinating with a designated third-party travel provider.
- Manage travel itineraries, accommodation bookings, transportation, visas, and related documentation with ease and no mistakes, with the support of the local EA.
- Be an escalation point for travel when issues arise with third party providers
- Ensure adherence to corporate travel policies and escalate exceptions when necessary.
- Process or support the process of all expenses in and timing and fluid manner in line with company policies.
Stakeholder Management
- Build and maintain effective working relationships across the business.
- Act as a key point of contact for internal and external stakeholders.
- Facilitate communication and coordination between leadership and broader business teams.
- Ensure a professional and responsive experience for all stakeholders.
What you’ll bring
The role requires the following experience and skills:
- Previous experience in an Executive Assistant, Personal Assistant, Office Manager, or in a junior Program Management role.
- Experience supporting senior leaders and managing competing priorities.
- Strong organisational and time management skills.
- Excellent written and verbal communication skills.
- Advanced proficiency in Microsoft Office Suite.
- Ability to manage confidential information with discretion.
- Strong attention to detail and problem-solving capability.
